1. Who operates this site
The Union Gaming Network (the "Union", "we") is operated by Reptile Industries, a trading name of Rosenthal Business Services LTD, registered in England & Wales, Company No. 15889423. Registered office: 71–75 Shelton Street, Covent Garden, London WC2H 9JQ. ICO registration: ZC112604.
The Union is a community surface; the legal entity behind it is Reptile Industries. Where this page says "we" do something with data, it's Reptile Industries doing it on the Union's behalf.
2. Cookies and session storage
We set functional cookies only. There are no analytics cookies, no advertising cookies, no third-party trackers, and no fingerprinting. The cookies in use across the Union and the broader reptile-industries.com network are:
ri_community_session— a random 32-byte session token, set after you sign in via Zulip. Lets us recognise you on subsequent page loads without making you log in every time. Domain-scoped to.reptile-industries.comso a single sign-in works across the gaming, voice, and other community surfaces. HTTPOnly. Expires after 14 days of inactivity.ri_voice_session— same shape as above, set only on the voice subdomain when you join a call. Expires after 7 days.ri_portal_token/ri_admin_token— only set on the portal and admin subdomains respectively, used by business clients and operators. Not set anywhere on the gaming subdomain.
You can clear these at any time via your browser's cookie tools. Doing so signs you out; you can sign back in at /login/.
What we don't set
- No Google Analytics, Plausible, Fathom, or any other analytics product.
- No social-media tracking pixels (Meta, Twitter/X, TikTok, etc.).
- No advertising cookies, retargeting, or behavioural profiling.
- No cookies set on the public homepage, about, contact, or legal pages until you actually sign in. The pages render the same for everyone.
3. Data we store about you
When you sign in to the Union with your Zulip account, we create a row in our session database with:
- Your Zulip user ID, email, display name, and avatar URL.
- The session creation timestamp, last-used timestamp, and expiry timestamp.
- A flag indicating whether your Zulip account has admin/moderator role.
We do not store your Zulip password or your Zulip API key. The login flow exchanges your credentials with Zulip directly via Zulip's REST API, gets back a one-time identity confirmation, and discards the API key immediately.
When you participate in the network (post on a staff page, vote in a mod election, file a ticket, buy from a server store, etc.), the resulting record will be linked to your Zulip user ID so admins and moderators can see who did what. Records are kept for as long as the related server exists, plus a reasonable archival period for audit purposes.
4. Identity via Zulip
The Union does not maintain its own password database. Your identity here is your Zulip account at zulip.reptile-industries.com. That means:
- Password changes happen on Zulip, not here. Forgot your password? Reset it on Zulip.
- Disabling your Zulip account also disables your Union access on the next session refresh.
- Zulip's privacy policy applies to anything you do on Zulip itself. Zulip is also self-hosted by Reptile Industries on the same hardware as the Union, so it falls under this same operator.
5. Third parties
The Union sends data to the following third parties only as strictly needed:
- Your email provider, when we send you transactional email (account verification, password rotation, etc.). The email content goes through our outbound SMTP provider (currently IONOS, our domain registrar) and is delivered to the email address you registered with Zulip.
- External voting sites when you click a Vote link on a server page. Those sites have their own privacy policies; we have no control over what they record.
- External donation/store pages when a server links to an outside store (e.g. Patreon, Ko-fi). Same caveat.
The Union does not send personally identifying data to any analytics, advertising, or behavioural-profiling service.
6. Your rights (UK GDPR / data protection)
You have the right to:
- Access — ask us what data we hold about you.
- Rectify — correct anything that's wrong.
- Erase — have your account and associated records deleted. Note: messages you posted publicly (e.g. on a staff page) may be retained in archival form for moderation history, with your name redacted.
- Object — to any processing you disagree with.
- Complain — to the UK Information Commissioner's Office (ico.org.uk) if you think we've handled your data unlawfully.

7. Changes to this page
If we materially change what data we collect or how we use cookies, this page is updated and the change is announced on the community Zulip in the #announcements stream. There is no email-marketing list and we don't notify by email for site-policy changes.
